1. Folders

1.1. How do I know who is sharing my folders?

A first way is just to open one given folder (go to "Home" then click on any of the folders you have access to) and choose "View Shares" from the "Folders options..." drop-down list on the right of the screen. From the pop-up window, you will get a list of all users who have or have had access to the folder and will even be able to revoke any share you granted.

Another way is to open the "Folders shares overview" available from the "Reporting / SQL Enquiry Writer" menu. There you can view in one go all the shares to all folders you have access to but can also search for a given user accesses.

1.2. Which folder option should I use?

The most commonly used option is "I have finished". It is used once you have finished searching a folder and want to return it to the person who shared it with you.

Another interesting option is "Search CV and Form Text", but we advise you to use the CERN specific reports to search a folder.

The other folder options are mainly used when sharing a folder with another user (read important information about the right option to choose here). Please note that "sharing" a folder does not mean making a copy of the folder. It gives a simultaneous access to the same folder to another person.


1.3. How can I check all comments made by other users on my folder?

Open the "Folder Comments Summary available from the "Reporting / SQL Enquiry Writer" menu. Specify which folder(s) you want to have a look at. You may also specify which user or which recommended action is of interest for you.

This report allows you to access ALL the comments made by ANY user on the given folders. It is restricted to the folders you have acces to.

1.4. When should I return a folder ("I have finished" option)?

Normally the folder should be returned to the person who shared the access to you when all comments and selection actions have been registered.

Once returned, you can still search a folder (from the "Reporting" menu) but cannot make any more comments and/or selections.

1.5. How can I share a folder with multiple users?

Please note: When doing a "Share - Trusted" action with a folder, it is only possible to share with ONE other user. All other types of share can be done with more than one user.

In order to share with more than one user:


1.6. How can I return a folder for which there are active shares?

To return a folder, all shares HAVE to be closed. If some users you have shared the folder with have not returned the folder themselves, you can force the share to be closed by revoking the share. Note that all "sub-shares" will be automatically closed.


2. Reporting

2.1. What should I enter in the free text search when searching a folder?

You can enter any piece of text which can be present in CV and/or application form. The search is case unsensitive (you can enter upper or lower case) and you can use many text search operators to refine your search.

Do not forget that entering search criteria which are too precise can exclude some interesting candidates from teh search results. Therefore, use this field with caution and make multiple tries.

2.2. How do I search for "C++" in candidates' documents ?New

Given technical limitation, the symbol "+" cannot be searched in candidates documents within e-RT. We are working in finding a solution for that.
In the meantime, you may download all candidates' documents in a ZIP file and perform a search in all documents directly from your favorite Operating System.


3. Menus / Navigation

3.1. What is the "Preferences" menu for?

This menu which comes along with Hazelweb's iCams (the product e-RT is based on) is not used at CERN. Any changes you make under this menu is overwritten every night.
